Importance of communication in safety

Communication is an important aspect in every part of life.
As all of us know, even a dot or comma in written communication can change the whole meaning.
It should be in simple language, shorter, to the point.
Then, it will be easily understood.

Some accident takes place and if location is not told exactly, valuable time is lost by emergency services in reaching and rescuing.

Sometimes, persons have the habit of talking for longer time, which could have been completed in 1-2 minutes.
Saying same in different forms will only make the listener to loose interest.

Say what to convey in very few sentences and then monitor for proper implementation. 

Sending circulars, use pictures, which are easy to understand.

Review what you are sending or talking to avoid confusion.

e-mail or phone?

Today in the news paper MINT, a syndicated column appeared on people tendency to use e-mail rather than phone for communication, though it is convenient to speak rather than type. Few months back, our boss also commented that, now-a-days, we are using e-mail more than the phone.
At workplace, I feel e-mail is more convenient to convey information to a group though it is easy to speak directly or over phone with limited number of persons. Moreover, e-mail is a written document which can serve as a proof of communication. Nobody can say that he/she did not received the mail. In case, e-mail ID is typed wrongly, then the sender will be at fault, else the receiver has to accept. If the mail ID is non-existent, then failure notice will appear in the sender's inbox. Verbal communication is like writing on the water.
Apart from communication to bulk, e-mail is also helpful to convey tough messages, or to those whom we do not want to talk but we have to communicate.
It is easy to organize the mails sent into different folders and can be retrieved easily with search words, whereas we have to spend more time in filing and tracing. We can also copy e-mails in portable storage media and use wherever required.
However, direct communication helps to convey what we want, remove any misunderstanding and help in improving relations. Urgent issues also have to be communicated directly. Sending e-mail in these cases will not ensure immediate attention of the receiver whether he is available near his computer or not.
At the same time, if we have to talk to nut cases (stupids), we have to use all our energy and time unsuccessfully and go home with disturbed mind.
Finally use of phone or e-mail depends on the importance of the issue, audience, time and our energy levels.

Communication - its importance in personal and official matters

There is no news paper delivery today as it was a declared holiday yesterday on the occasion of Sankranthi festival. I was going through yesterday's Times of India news paper and read about the advice of a famous couple of Hindi cinema (bollywood) to be successful in life. They mentioned about the need for PROPER communication between the persons and not to take for granted just because they are known to you. It is true in every sense.

Let it be at residence, or office or on the roads, when we watch the way we talk with strangers/seniors, we find that we talk with respect, use good language, take efforts to explain and make them understand. And when it comes to our family members, all this will be missing and will be trying to show (may be unconsciously) who is the boss at home. Most of the time our talk will be in harsh language and will be shouting without reason. If sense prevails, atleast after sometime, we will apologize for the way we talked.

This is true at office also. When we talk with subordinates, we talk differently and while talking with boss, we are subdued. This leads to lot of communication gap and failure to achieve what we want. Before saying, for a moment, let us enter into other's shoe and visualise how our directions will be received/understood. If we are clear, then we can say what we want. If not, then we have to do communication the way it gets the result what we want.

In safety issues also, communication plays a great role. If there is no proper communication, then operators assume something and things may go wrong. Blaming the operator after an incident will not serve any purpose. Operators also should be bold to ask when they do not know what to do or how to do. Similarly, when we, the safety professionals do not communicate, or fail to communicate in simple language, then we can't expect safety at the shopfloor. We have to explain to the plant managers, contractors, occupier about their responsibilities w.r.t safety and advise them how to do in safe manner. Training, news letters, etc are aids in communication. Safety work permits, clearances are also form communication, but for the particular job/modification/new work. Many accident investigations stress about lack of communication/coordination.

Collective wisdom is available in the form of legislations. We have to communicate these to shopfloor people so that they can understand and implement. Of course, there will be few rebels who do not want to follow the rules and regulations and for them, we have to take into confidence of the management and punish them by caution, warnings, penalties and termination in that order.

Communication - an important tool to help others to improve safety

Every day we see, hear, read and may experience accidents. But, how much time we spend on thinking about those accidents and what can be done to prevent such accidents. As we think more and more on the subject, our thoughts will be streamlined and a day will come when it becomes a part of life.

True, we need safety. But, normally we just leave it as such, as we have more important things to do (so as we assume).

Do we leave things as they were, if it is our children involved in such activities. A BIG NO. We tell a hundred times about how to proceed with a task, if it is to be done by our child. We also ensure some sort of supervision or keep watch on them.

The way we communicate with our children, we have to do it with our colleagues or partners in the work area also. BECAUSE, safety is a team work.

We may follow safety rules. But, we can't be sure of a safe work place, unless all those involved in the work also follow those safety rules.

Do not say later on that I told you so / I did but why you did not. Say it before taking up the task.

Communication should be simpler, straight, easy to understand, written and confirm it by asking questions.

If there is any doubt, get it cleared at once. You may be called Doubtfire. It doesn't matter. Because it is 'I' or 'Me' who is going to be involved in the job and even a wrong step can cause danger to others also.
